Privacy Policy

Last Updated: September 29, 2025

1. Introduction

Your privacy is at the heart of VoiceOS. We believe you should be in full control of your data — always. That's why our Privacy Policy is written in plain language, not legal jargon.

With VoiceOS, you get to choose how your data is handled. Private Mode keeps your sessions out of our cloud history, while the standard setting lets us use shared data to make VoiceOS better over time.

2. Why We Use Cloud Processing

VoiceOS uses secure cloud servers to deliver lightning-fast, highly accurate voice dictation and text-to-speech experiences. Cloud processing allows us to run advanced AI models that are more powerful than what's possible entirely on-device.

If privacy matters a lot for your workflow, you can turn on Private Mode. All your voice sessions are stored locally on your device and never saved to our cloud.

Our goal is to balance performance and privacy so you never have to compromise.

3. Choose Your Privacy Mode

When you set up VoiceOS, you can choose between two privacy options:

Private Mode (Default Opt-Out)

Private Mode means your audio we do not save those any sessions to use them to improve VoiceOS. Your data stays on your device. We still keep the small amount of account and operational data needed to run the service, like your account details, session usage, and technical diagnostics.

Help Improve VoiceOS (Optional Opt-In)

If you choose to help improve VoiceOS, we'll collect minimal, anonymized text data to make our models better. This includes recognized text (not raw audio) and performance metrics to help us improve accuracy and speed.

Your data in this mode is anonymized, encrypted, and never accessible to any person outside of our training systems. It's never sold or shared.

You can switch between modes anytime in your settings.

4. What We Collect and Why

If You Opt In (Help Improve VoiceOS)

We collect:

  • Recognized text (not audio): Used to train and refine our speech recognition and correction models.
  • Technical and performance data: Like device type, latency, and app stability metrics.

This data is anonymized, encrypted, and never tied back to your identity.

If You Opt Out (Private Mode)

We only keep what's needed to run the product and your account:

  • Account details: Such as your name and email address.
  • Session usage data: For example, whether you used a session, so we can handle plan limits and keep your account working normally.
  • Device info and performance metrics: To maintain app stability and debug technical issues.

In Private Mode, we do not save your voice sessions to use them to improve VoiceOS, but your audio is still processed to generate transcripts.

5. How Long We Keep Data

In Opt-In Mode, anonymized training data is stored only for as long as necessary to improve our AI models and ensure system reliability.

In Private Mode, we do not keep your voice sessions in cloud history. We only retain the minimal operational data needed to run the service and your account.

6. How "Transcript History" Works

Your transcript history — including past dictations or audio snippets — is stored only on your device for your convenience. We don't have access to it, and it's never uploaded to our servers unless you explicitly share it for feedback or support.

7. How "Context Awareness" Works (Optional Opt-In)

When you turn on Context Awareness, VoiceOS can read, not collect, relevant text from the active window to improve transcription accuracy.

This helps VoiceOS:

  • Understand context better for names, jargon, or specialized terms.
  • Improve spelling and recognition accuracy in your current app.

This content is read locally and never stored or transmitted. You can toggle Context Awareness on or off anytime.

8. Data Security

We take security seriously. Here's how we protect your data:

  • Encryption at rest: Any data we store is encrypted using strong industry standards.
  • Encryption in transit: All communication between your device and our servers uses TLS encryption.
  • Access controls: We use strict permissions, role-based access, and row-level security to ensure data isolation.

9. When We Share Data

We only share limited information with trusted service providers who help us operate and maintain VoiceOS — for example, cloud hosting or customer support providers.

We never sell your data.

We may disclose information only when required by law or to protect the safety and integrity of our services.

10. Children's Data

VoiceOS is not intended for children under 13 (or under 16 where applicable) without parental consent. If you believe a child's data has been submitted in error, please contact us immediately so we can delete it.

11. Policy Updates

As VoiceOS evolves, we may update this Privacy Policy. If we make significant changes, we'll notify you in the app or by email. The latest version will always be available at https://voiceos.com/privacy.
